Booking system: custom or off the shelf?
There are plenty of off-the-shelf booking tools and for many businesses they are the right choice. The question is not custom or ready-made, but when each road pays off. Here is the honest breakdown.

There is no shortage of off-the-shelf booking tools — from ones built for hair and beauty salons to general systems on a monthly subscription. For a great many businesses they are an excellent choice. So the question is not “custom or off the shelf”, it is when each road pays off. Here is the honest breakdown.
When an off-the-shelf system is the right choice
Subscription tools (a monthly fee, usually €10–40 a month) make sense when:
- the way you take bookings is standard — a slot, a service, a member of staff;
- you need something quickly and without an upfront investment;
- you are content that the look and the flow cannot be fully adapted;
- you are a smaller provider and what the tool offers is enough for you.
If you recognise yourself in all of the above, our honest advice is: take the off-the-shelf system. You do not need a custom one, and we are not going to sell you one.
Where off-the-shelf systems start to squeeze
A subscription looks cheap right up until you meet a limit. Three are the most common:
- Your process does not fit their mould. A booking that takes up several resources at once (room + therapist + equipment), packages, combinations — off-the-shelf tools often cannot handle it.
- Your data is trapped. Customers, history and the calendar live on someone else’s server; the connection to your website, your till or your accounting is limited.
- The price grows with the business. More staff, more locations or more features means a higher tier — monthly, for ever.

Your own booking system costs more at the start, but after that there is no monthly subscription and there are no limits. It pays off when at least one of these holds:
- your process is unusual and off-the-shelf tools do not cover it (a spa with therapists and rooms, glamping, equipment hire, several locations);
- you want one experience from the site through to the booking, in your own identity;
- bookings have to be connected to stock, the till or a CRM;
- your volume is large enough that within a few years the subscriptions exceed the cost of your own system.
An off-the-shelf system is renting. A custom one is buying. Which to choose depends on how long, and how particularly, you intend to live in it.
A simple calculation
Say an off-the-shelf system for your volume costs €40 a month, so €480 a year, or around €2,400 over five years — with no ownership and nothing bespoke. If your process is standard, that is a fine deal. If you are constantly fighting the limits and paying for higher tiers, a system that works exactly your way pays for itself sooner than you think.
